Music school terms and conditions

1. Enrollment, Duration of the Contract Period, and Re-enrollment

Basic art education typically continues for several years. A student remains enrolled in the music school as an active student until they receive a graduation certificate or their studies are officially declared complete.

1.1 Enrollment as a student is done exclusively using the electronic Eepos form.

1.2 Students always enroll for the entire academic year (i.e., both the autumn and spring semesters), unless otherwise agreed with the principal or if the enrollment takes place in the middle of the academic year.

1.3 The academic year includes a predetermined number of lessons as well as student concerts. Any additional ensemble playing is arranged separately with the teacher and administration.

1.4 In group studies and early childhood music classes, each student must register separately, including in family duos.

1.5 Instruction for students who begin in the autumn semester will automatically continue into the spring semester unless the studies are officially discontinued. Unreported discontinuations will be charged the full semester fee (see section 3.1). This applies to both instrumental and early childhood studies.

1.6 A student retains their student place and remains listed as an active student in the student registry, even if no actual studies are currently recorded, until they either complete or withdraw from their studies.

1.7 After the summer break, instruction is assumed to continue by default. However, the student or guardian must confirm continuation each spring using the re-enrollment form available in your Own Eepos. This same form is also used to indicate any desired changes or to withdraw from studies. For early childhood music groups, students must always register as new participants using the dedicated Eepos form for these classes.

2. Absences and Compensation for Missed Lessons

All absences must be reported either by the student if they are of legal age or by the guardian if the student is under 18.

2.1 Absences must be reported directly to the teacher, either by text message or via an Eepos message. by logging into My Epic.

2.2 As a rule, student absences from individual lessons are not compensated.

2.3 Absences from group instruction are not compensated.

2.4 Any teacher absences will be fully compensated with compensated lessons provided either by the teacher or a substitute during the academic year. If a student discontinues their studies during the school year, such missed lessons will not be compensated.

3. Interruption of Studies, Withdrawal, and Requests for Changes

3.1 Interruption of Studies: A student place can be canceled free of charge before the start of the academic year by submitting a written notice to the music school office (toimisto@musiikkitoteemi.fi) by July 31. Cancellations made after this date but before instruction begins will be subject to a cancellation fee in accordance with the current price list. Notifications given in any other way, including to the teacher, are not considered valid.

If a student place is canceled after the academic year and instruction have begun, the full semester fee will be charged. Unused lessons will not be refunded. However, if the spring semester is canceled by December 15, only a discontinuation fee will be charged, and the spring semester fee will not be applied.

3.2 Withdrawal or Leave of Absence After the Academic Year: Every student taking instrumental or vocal lessons (or their guardian) must complete the Eepos form each spring by logging into their personal Eepos account to indicate whether they will continue or end their studies. Taking a gap year is also possible. For group instruction and early childhood music classes, students must always register as new students using the Eepos form available at https://musiikkitoteemi.eepos.fi

3.3 Changes: Changes are only possible before the start of the semester and must be reported at least two (2) weeks prior to the beginning of the semester. Changes made during a billing period will incur a change fee in accordance with the current price list.

4. Billing, Contact Information, and Debt Collection

Billing is carried out on the basis of the contact information supplied by the customer, who bears responsibility for its accuracy and currency. Personal data may be reviewed and updated by logging in to the Eepos system, for which the customer receives individual credentials upon acceptance as a student.

4.1 Billing is conducted according to the customer's selected method (email or letter) and preferred number of instalments (1–3). The fees corresponding to lessons of varying lengths and instalment options are available on the institution’s website in the current price list. All prices listed are personal and apply to one semester only, not the full academic year.

4.2 By registering as a student, the customer accepts the payment and contractual terms and is responsible for having read and understood these terms.

4.3 Registration and billing fees are charged in accordance with the current price list. The registration fee is charged only once.

4.4 The invoice is sent to the address of either the student, if of legal age, or the primary guardian of a minor student, as specified by the customer in the Eepos system during the application process.

4.5 Invoices ordered by email are sent from Procountor using the address [no-reply@procountor.com](mailto:no-reply@procountor.com), not directly from Musiikkitoteemi. 4.6 The customer has a 14-day period from the invoice date to raise any objections or inquiries regarding the invoice.

4.7 Various cultural benefit schemes are also accepted as valid methods of payment. When using such benefits, the amount and timing of the payment must be reported by email to [toimisto@musiikkitoteemi.fi](mailto:toimisto@musiikkitoteemi.fi). If only part of the semester fee is paid using a benefit, the remaining balance must be paid using the original invoice details, and no new invoice will be issued.

4.8 The invoice may not be independently divided into more instalments than originally agreed upon. Any such change requires a separate request to the office, in which case a revised invoice will be issued and a change fee will be added in accordance with the current price list.

4.9 Invoices must be paid by the due date using the reference number provided on the invoice. Any interest and reminder fees resulting from late payments will be invoiced no later than the end of the calendar year and are subject to debt collection if unpaid.

4.10 Overdue semester fees, as well as any unpaid interest and reminder charges, will be transferred to a debt collection agency for further processing. Once the matter has been handed over, it will be handled exclusively by the collection agency, and payments can no longer be made using the original invoice.

4.11 A cancellation fee, as specified in the current price list, will be charged if a student place is cancelled during the academic year without an acceptable reason, or if the student discontinues their studies without notifying the administration. A cancellation notice given to the teacher is not considered valid.

School Policies

To ensure smooth participation and effective cooperation, it is important that we operate according to shared guidelines. In the case of students under the age of 18, communication among the three parties – the student, the teacher, and the guardian – is particularly essential. For younger children, support and guidance from the home environment in practicing at home significantly contribute to skill development and a meaningful progression in the hobby. It is advisable to ask the teacher for tips on practice routines and how to support them, especially for students under the age of 12. The student is responsible for acquiring the necessary study materials; the teacher will provide guidance on what should be purchased. For matters related to billing or administration, the academic office will provide assistance.
